User Guide

This guide covers everything you need to manage new SONAN store locations from day one through grand opening and beyond.

Logging In

Visit launchpad.sonantech.com. The app is protected by Cloudflare Zero Trust Access โ€” you will be prompted to verify your email address with a one-time code.

If your administrator has enabled the fallback password login, go to /login.html and enter the shared admin password.

Dashboard

The dashboard (/index.html) is your home screen and gives a full picture of all active location openings at a glance.

Summary Stats Bar

At the top you'll see six stat cards:

Location Cards

Each active location appears as a card showing:

  • Location name and current status badge
  • Progress bar โ€” percentage of tasks marked Done
  • Task counts: total, done, overdue
  • Key dates: Target Opening and Rent Commencement
  • Warning alerts (red/orange) if critical dates are approaching
A red alert appears if rent commencement is within 30 days. An orange alert appears if the target opening date is after rent commencement โ€” meaning you'd be paying rent before opening.

Click View โ†’ on any card to open the Location Detail page for that location.

Locations

The Locations page (/locations.html) lists all locations including archived ones. You can filter by status using the chips at the top.

Creating a New Location

Click + New Location in the top-right corner of the dashboard or Locations page.

Fill in the location details. Only Location Name is required. All other fields (address, target opening date, rent commencement date, lease term, status) are optional but strongly recommended.

Click Save Location.

The system automatically generates all tasks from the master template. You do not need to create tasks manually.
All 60+ onboarding tasks across 13 categories are created automatically when a new location is saved.

Location Statuses

Editing a Location

Click the โœ๏ธ Edit button on any location card (Locations page) or the Edit Location button inside Location Detail to update any field, including changing the status.

Location Detail

Click View โ†’ on any location to open its detail page. This is your primary workspace for managing a specific location. It has five tabs: Tasks, Reminders, Lease Dates, Budget, Progress.

Tasks Tab

The Tasks tab is where you manage the full onboarding checklist for this location.

Updating Task Status

Each row has an inline status dropdown. Click the dropdown in the Status column and select the new status โ€” it saves automatically without a page reload.

Task Priorities

Filtering Tasks

Above the task table, use the filter dropdowns to narrow the list:

  • Status โ€” filter by a single status
  • Category โ€” show only one of the 13 task categories
  • Priority โ€” show only Critical, High, Normal, or Low tasks

Adding a Custom Task

Click + Add Task in the Tasks tab header.

Fill in: Title (required), Category, Priority, Due Date, Assigned To, and optionally a Link URL for reference documents.

Click Save Task.

Editing or Deleting a Task

Click โœ๏ธ on any task row to open the edit modal, or ๐Ÿ—‘ to delete. You will be asked to confirm before deletion.

All tasks belong to one of these 13 categories:

Reminders Tab (on Location Detail)

The Reminders tab shows all reminders linked to this specific location. You can add, edit, or delete reminders directly here without leaving the location page.

Click + Add Reminder to create one. See the Reminders Page section below for full details on reminder fields.

Lease Dates Tab

This tab displays the key financial and legal dates for the lease:

  • Rent Commencement โ€” when rent payments begin
  • Lease Expiry โ€” end of the initial lease term
  • Target Opening โ€” planned grand opening date
  • TI Deadline โ€” tenant improvement allowance claim deadline
  • Lease Term โ€” length of the lease in years
  • Monthly Rent โ€” base rent amount

These are read from the location record. To update them, click Edit Location at the top of the page.

Budget Tab (on Location Detail)

The Budget tab shows all budget items for this location with a live summary at the top.

Summary Cards

  • Total Estimated โ€” sum of all estimated costs
  • Total Actual โ€” sum of all actual costs entered so far
  • TI Eligible โ€” portion of actual costs eligible for Tenant Improvement reimbursement
  • Non-TI (Out-of-Pocket) โ€” amount not covered by TI allowance

Adding a Budget Item

Click + Add Budget Item in the Budget tab.

Fill in: Category, Item Name (required), Estimated Cost, Actual Cost (once known), TI Eligible (Yes / No / Maybe), Vendor, Paid checkbox, Payment Date, and Notes.

Click Save.

Editing / Deleting a Budget Item

Click โœ๏ธ Edit on any row to update it, or ๐Ÿ—‘ to delete. Mark items as Paid and enter the payment date once invoices are settled.

Progress Tab

Shows a visual progress bar for each of the 13 task categories, so you can see at a glance which areas are on track and which need attention. Each bar shows completed tasks vs. total tasks in that category.

All Tasks Page

Navigate to Tasks in the sidebar to see every task across all locations in one table.

Filter Chips

Use the pill-shaped filter chips at the top to narrow results:

  • All Locations โ€” filter to a specific location
  • All Statuses โ€” filter by task status
  • All Categories โ€” filter by task category
  • All Priorities โ€” filter by priority level
  • ๐Ÿ”ด Overdue only โ€” toggle to show only tasks past their due date

Active filters turn navy blue; the Overdue toggle turns red. Click any chip again to clear that filter.

Overdue tasks are highlighted with a light red row background. The due date column also turns red for overdue items.

Reminders Page

Navigate to Reminders in the sidebar for a global view of all reminders across all locations.

What are Reminders?

Reminders are date-based alerts for recurring or one-off obligations โ€” lease renewals, rent payments, insurance renewals, HVAC service appointments, permit expirations, and more. Unlike tasks, reminders can recur automatically.

Creating a Reminder

Click + Add Reminder.

Select the Location, enter a Title, choose the Type and Priority.

Set the Due Date.

Choose a Recurrence if this repeats (None / Daily / Weekly / Biweekly / Monthly / Quarterly / Biannual / Annual).

Add optional Notes and click Save Reminder.

Reminder Statuses

StatusMeaning

Auto-Generated Reminders

Use Generate Reminders (on the Reminders page) to bulk-create standard reminders for a location based on its lease dates. This creates reminders for rent payments, HVAC services, gross sales reports, and lease expiry warnings โ€” pre-configured with the correct dates and priorities.

You need to have set the location's Rent Commencement date and Lease Expiry date before generating reminders. The number of reminders generated (e.g., 24 months of rent, 4 HVAC sessions per year) is controlled in Settings.

Email Digest

A daily email digest is sent each morning listing reminders due soon. Email intervals per priority are set in Settings.

Calendar

Navigate to Calendar in the sidebar for a visual month-based view of all tasks and reminders.

Month View

Each day cell shows up to 3 events (tasks or reminders) with colour coding:

  • Blue โ€” Standard task
  • Yellow โ€” Reminder
  • Red โ€” Critical priority (task or reminder)
  • Green strikethrough โ€” Completed task

Click any event to see its full details in a popup.

Adding a Task or Reminder from the Calendar

Click on any day cell (the blank area, not an event) to open the Add Event dialog with that date pre-filled:

Choose โœ… Task or ๐Ÿ”” Reminder at the top.

Select the location, enter a title, choose category/type and priority.

Click Save. The calendar refreshes automatically.

List View

Click List next to the Month/List toggle to see all events for the current month as a sorted list instead of a grid.

Filters & Sort

Above the calendar grid, use the Filter and Sort chips to narrow or reorder events:

  • Filter: All Types / Tasks Only / Reminders Only
  • Sort: By Date / By Priority / By Location

Location Filter

The All Locations chip in the top-right filters the entire calendar (and the Upcoming Reminders section below) to a single location.

Upcoming Reminders Section

Below the calendar grid, all active reminders for all locations (or the selected location) are shown sorted by earliest date first. Each card shows the date badge, title, location, type, and priority. Click any card to see full details.

Budget Page

Navigate to Budget in the sidebar for a cross-location budget overview.

Using the Location Filter

Select a location from the filter chip at the top to filter budget items and summary stats to one location. You must select a specific location before the + Add Budget Item button becomes active.

Summary Stats

The five stat cards show: Total Estimated, Total Actual, TI Eligible total, Non-TI (out-of-pocket) total, and Variance (actual minus estimated).

Adding a Budget Item

Select a location from the filter chip.

Click + Add Budget Item.

Fill in Category, Item Name, Estimated Cost, Actual Cost (when available), TI Eligible, Vendor, Paid status, Payment Date, and Notes.

Click Save.

Editing / Deleting

Click โœ๏ธ Edit on any row to modify it. Click ๐Ÿ—‘ to delete (confirmation required). Update the Paid field and enter the Payment Date once an invoice is settled.

Reports

Navigate to Reports in the sidebar. Use the Report Type selector to switch between five report views:
